RecText Technologies, Inc. ("RecText," "we," "our," or "us") respects your privacy and is committed to protecting your personal information. This Privacy Policy explains how we collect, use, share, and safeguard information when you use our website, mobile applications, and platform (collectively, the "Service").
1. Information We Collect
Account & Profile Information
When you register, we collect information you provide directly, such as:
- Name, email address, and phone number
- Academic status (e.g., nursing or healthcare student), school or institution, program, and target exam
- Graduation date and study preferences
- Feedback, support requests, and communications with us
Study Content You Provide
To deliver core features, RecText processes content you upload or create, including:
- Scanned or uploaded documents, images, and files you convert, translate, or summarize
- Exam and quiz responses, practice session results, and study calendar data
- Flagged-question submissions and other feedback on study materials
Payment Information
If you purchase a subscription, payment is processed by our third-party payment processor, Stripe, Inc. RecText does not store your full credit card number. Stripe's own privacy practices govern the handling of your payment details; see Stripe's Privacy Policy.
School & Institutional Data
Where RecText is used under a school or institutional license, we may process a student's enrollment status, cohort assignment, and aggregate or individual performance data so that authorized faculty can view cohort progress through the Faculty Dashboard. We work with institutional partners to handle such data appropriately and, where applicable, consistent with FERPA and similar education-privacy frameworks.
Usage & Device Data
We automatically collect certain technical information when you use the Service, including IP address, browser and device type, operating system, pages viewed, and time spent on pages.
2. How We Use Information
We use collected information to:
- Operate, maintain, and secure the platform
- Provide the specific feature you request (e.g., document conversion, translation, exam generation)
- Process subscription payments and manage billing
- Support school and institutional licensing, including faculty cohort reporting
- Improve our services, question bank quality, and product features
- Communicate with you about your account, billing, or updates to the Service
- Detect, investigate, and prevent fraud, abuse, or violations of our Terms
3. Third-Party Service Providers
We do not sell or rent your personal information. We share information only with service providers who help us operate the Service, under confidentiality and data-protection obligations. Current providers include:
- Stripe — payment processing and subscription billing
- Clerk — authentication and account management
- Railway — application hosting and infrastructure
- PostHog — product usage analytics
We may also share information with legal authorities where required by law, or with a successor entity in connection with a merger, acquisition, or sale of assets.
4. Google API Services — Limited Use Disclosure
RecText's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements.
Specifically, RecText accesses Google Calendar data solely to enable the Study Calendar feature — creating and managing study schedule events on behalf of the user at their explicit request. RecText does not:
- Use Google user data to develop, improve, or train generalized AI or machine learning models
- Share Google user data with third parties except as strictly necessary to provide the Study Calendar feature
- Use Google user data for advertising or any purpose unrelated to the feature the user requested
- Retain Google Calendar data beyond what is required to deliver the requested feature
5. AI-Assisted Features
Certain features — including practice question generation, document summarization, translation, and pharmacology monograph creation — are powered in part by artificial intelligence systems. Content you submit to these features may be processed by third-party AI providers solely to generate the output you requested. We do not permit these providers to use your content to train models for other customers.
6. Cookies
We use cookies and similar technologies to keep you signed in, remember preferences, and analyze usage. You can disable cookies through your browser settings, though some features may not function properly without them.
7. Data Retention
We retain account and study content for as long as your account remains active, plus a limited period afterward for backup, legal, and fraud-prevention purposes. You may request deletion of your account and associated data at any time by contacting us (see Section 10).
8. International Data Transfers
RecText's servers and service providers are located in the United States. If you access the Service from outside the United States, you understand that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction.
9. Data Security
We implement reasonable technical and organizational measures designed to protect your information. However, no system is completely secure, and we cannot guarantee absolute protection against unauthorized access, loss, or misuse.
10. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal information we hold about you
- Request correction of inaccurate information
- Request deletion of your personal information
- Withdraw consent where processing is based on consent
- Object to or restrict certain processing

11. Children's Privacy
The Service is not intended for individuals under the age of 13, and we do not knowingly collect personal information from children under 13. The Service is designed for nursing and healthcare students, who are generally 16 years of age or older. If you are between the ages of 13 and 18, you represent that you have your parent or legal guardian's permission to use the Service, and that a parent or guardian is responsible for any subscription charges incurred on your behalf.
12. Changes to This Policy
We may update this Privacy Policy periodically to reflect changes in our practices or for legal, operational, or regulatory reasons. Material changes will be posted on this page with an updated revision date, and, where appropriate, communicated to you directly.
